ONE OF OUR SUCCESS STORIES!

When building a fleet operation or working to improve one, success stories are plentiful.  Here's a success story that got the attention of several working in the fleet management field!

 

PROBLEMS -- A company had a several severe problems that were significantly impacting their operation. These problems were identified when our expert assessed the fleet operation.  1) fleet vehicles were being sent to employees in the field in very poor condition and often the employees were not able to use the vehicle,  2) fleet vehicles were being damaged in the field and never reported to Fleet,  3) when vehicles were returned to Fleet, they were in very poor condition and often were taken out of service for several weeks due to needed repairs, 4) HVAC service equipment was often missing when the fleet vehicles were returned to Fleet costing the companies thousands of dollars, and 5) when HVAC service equipment was missing, the company was unable to provide serial numbers when filing a report with law enforcement making it very unlikely that the equipment would be recovered!

 

SOLUTIONS -- Our fleet expert effectively resolved every problem by developing a comprehensive system in which every vehicle received by Fleet, got a full inspection that included photos, and all damages and needed repairs were identified and carefully tracked until every issue was resolved.  Once a vehicle was ready to be assigned, it was fully inspected, photos taken of the vehicle, service equipment and serial numbers for each piece of equipment.  That information was stored in a report format and when a manager requested a vehicle be sent to an employee, the report was sent to the manager and employee so there were no questions about the condition of the vehicle being assigned.  Once the employee received the vehicle, they completed a condition report in which they agreed to the condition of the vehicle and that they were now in possession of the service equipment.  Every week, drivers were responsible for doing a completed vehicle inspection which included photos, so as to make certainmanagement and Fleet were fully aware of any issues needing to be addressed.   The company now has serial numbers for all service equipment and the driver's acknowledgement that they are in possession of the equipment.

 

COMMENTS --  Our expert used a state-of-the-art fleet management software program, that was modified, to specifically address the identified problems.  Having the equipment serial numbers and the driver acknowledging that they are in possession of the equipment, made it much easier to hold the driver accountable for missing equipment and to provide law enforcement with the serial numbers when reporting missing equipment.  FLEETrific can work directly with a company to develop similar processes using a state-of-the-art fleet management program that allows streamlining and simplification. 


ANOTHER ONE OF OUR SUCCESS STORIES!

PROBLEMS -- A large infrastructure company with multiple fleet equipment yards had numerous problems.  1) they were underutilizing their equipment resulting in excessive rental equipment expenses,  2) equipment was getting lost resulting in unwanted expenses and straining the working relationship between projects and Fleet, 3) there were also delays in getting rental equipment returned to the various rental equipment companies which was negatively impacting project profits and 4) owned equipment, stored at at their 3 fleet yards was in need of repair and often did not get repaired of sat for prolonged periods of time without going through the repair process.

 

SOLUTIONS -- A procedure manual was developed that included instructions for "on-renting" and "off-renting" equipment to make certain equipment was charged to the correct project with the correct dates to return equipment to the rental company.  Forms were also developed to included all necessary information for each part of the process, which required the project managers signature so as to eliminate any confusion regarding who ordered the equipment, who requested the "off-renting" and the related charges.  Part of the new process included sending equipment request to one of the company owned fleet yards before ordering any equipment from an outside vendor.   Any equipment that was out of service at one of the company owned fleet yards was tracked and followed up on so as to make certain any needed repairs were being performed in a timely manner.   Fleet and project management was given access to all equipment rental vendor GPS tracking programs to help keep track of all rental equipment.  Prior to a project starting, all project leaders were required to attend a Fleet orientation session at which time they were given a copy of the procedure manual and all fleet processes were reviewed.

 

Comments -- As is the case with companies our expert has worked with, numerous problems were uncovered when the fleet operation assessment was done, and many of these problems the company was not aware of.   Often, our expert will discover that those working in fleet, and at times executive leadership, are stuck in the "we've always done it that way" type of thinking.  This type of thinking always results in a fleet operation being highly ineffective and will most certainly frustrate the team, resulting in high employee turnover which is an indirect profit drain.  Having an outside fleet expert assess an operation has many benefits and will uncover deficiencies that only a fleet expert can uncover.
